A closer look

The details, when you need them.

The client list and records behind the relationship.

Your client list
  • Manage clients on the web. Search by name, email or phone; filter by visit or tag. Create tags to organize your client base.
  • Add and edit contact details, birthday and how they found you. Acquisition detail can only be set when creating the record.
  • A matching phone number brings up the existing client. Confirm when a different person shares that number.
  • Recent visits appear first by default; never-visited clients last. Archive and restore records, or confirm deletion by name on the web.
  • Review duplicates and choose the details to keep before merging. Stricter message consent and an audit are retained, but referral links and some medication data can be lost.
  • Client access follows staff permissions and assignments. Merge previews and cached iPhone records still have privacy gaps.
  • Flag clients with repeated missed visits for deposits. Blocking online bookings and purchases is not yet enforced.
On their record
  • Add a quick note or dated staff notes. Record allergies, severity, medications and products to avoid, and when you confirmed them.
  • Suggested allergy review flags are for your team to check; they do not decide whether a service suits a client.
  • See visits, missed appointments, a visit-based loyalty tier and when a regular is overdue. List counters and live summaries can differ.
  • Upcoming visits and outstanding forms appear together; the pending-form count can be incomplete.
  • Spend, amounts owed, credit, gift cards, packages and memberships appear in the summary. Mixed currencies and expired or pending items can affect the figures.
  • See appointment, purchase, package and membership history. Filter or search visits. Read emails and texts in Communication, with channel filters and delivery status; some text history and statuses are incomplete.
  • Record appointment and marketing message preferences. Consent dates are not a separate history for each channel.
Service notes
  • Write from the visit or while completing it. See the last visit and note for that service, and use the note as a starting point.
  • Search notes on the client record or open the service’s visit history. Unsaved changes prompt you before closing.
  • A safety strip stays in view while writing. Package-session details, linked forms and saved checklist choices add context; the checklist display still has gaps.
  • When another teammate edits a service note, an edit marker names them.
  • Providers read notes within their current booking relationship window and write on their own services. By default, front desk sees that a service note exists, but cannot read or write it. Service notes stay out of the Client Account.
On your iPhone
  • Search by name or phone, filter by visit or tag, and add clients with duplicate-number checks.
  • Open records, edit details, tags, safety facts and message preferences, add quick or staff notes, and archive or restore. Cached records can be stale; acquisition source cannot be edited here.
  • Review duplicates and choose details before merging. The same referral and medication limitations apply.
  • Write from the visit, start from the previous service note, and get a prompt before discarding unsaved changes.
  • Read past service visits and notes, search the Notes tab and see safety facts while writing.
